Privacy Policy
AI4Seniors ("we," "our," or "us") is committed to protecting the privacy of everyone who interacts with our service — including senior residents, facility partners, and business sponsors. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using ai4seniors.info, you agree to the practices described below.
1. Who This Policy Applies To
This policy applies to three groups:
- Senior Residents — individuals who use the AI4Seniors wizard through their facility or community center
- Facility Partners — senior living facilities, skilled nursing centers, and community centers that offer AI4Seniors
- Business Sponsors — local businesses that sponsor a community's AI4Seniors service
2. Information We Collect
From Senior Residents
When a resident uses the AI4Seniors wizard, we may collect:
- Questions asked — used to generate an answer and improve the service
- Basic usage data — date and time of use, general category of question
- Sponsor link activity — when a resident taps a sponsor's link or action, we record that a tap occurred (see Section 4) so we can bill the sponsor and report engagement. We record the tap, not the resident's identity.
- Device and browser information — collected automatically to ensure the service works properly
We do not require residents to create an account. We do not ask for names, addresses, Social Security numbers, financial account information, or health insurance details. We do not collect Protected Health Information (PHI) as defined under HIPAA.
From Facility Partners
When a facility joins AI4Seniors, we collect:
- Facility name, address, and primary contact information
- Administrator name, email address, and phone number
- Billing information for any one-time setup fee, processed securely by a third-party payment processor — we do not store card numbers on our servers
- Branding assets provided for white-label configuration (logo, colors, facility name, links)
- Signed facility agreement and related correspondence
From Business Sponsors
When a business becomes a sponsor, we collect:
- Business name, contact name, email address, and phone number
- Sponsor message, logo, links, and display preferences for the wizard
- Sponsor portal login credentials (email and a securely stored password) so the sponsor can manage their own campaign
- Billing information for their subscription and per-click charges, processed securely by a third-party payment processor
3. How We Use Information
We use the information we collect to:
- Provide AI-generated answers to questions residents ask
- Display the correct facility branding for each resident's session
- Display sponsor information in connection with a community's service
- Measure taps on sponsor links so we can bill sponsors accurately and give them aggregate engagement reports
- Process setup fees, sponsor subscriptions, and per-click charges, and send invoices
- Configure and maintain white-label wizard instances for each facility
- Communicate with facility administrators and sponsors about their accounts
- Improve the quality and accuracy of the AI service
- Comply with legal obligations
We do not sell, rent, or trade personal information to third parties. We do not share individual resident questions with sponsors or facilities.
4. How Sponsor Information Is Displayed and Measured
AI4Seniors is funded by sponsors, who pay AI4Seniors directly. When a community has an active sponsor, that sponsor's name, logo, and message are displayed alongside the wizard experience. This placement is:
- Facility-specific — a sponsor's information is only shown to residents of that community
- Disclosed — sponsor placements are clearly identified as sponsored content
Click measurement (for billing). So we can bill sponsors fairly, we count when a resident taps a sponsor's link or action. To keep it fair, a sponsor is charged for at most one tap per resident, per sponsor, per day. Sponsors receive aggregate counts only — they never receive a resident's identity, questions asked, or personal usage.
Action links. Some sponsor placements include an action the resident may choose to take — for example, "call this pharmacy," "request a callback," or "get a coupon." If a resident chooses to use one of these, they may be connected to the sponsor, and only the information the resident affirmatively provides (such as agreeing to a callback) is shared. Residents are never connected to a sponsor without taking that action themselves.
Sponsor-managed content. Sponsors can update their own message through a secure sponsor dashboard, but any new or changed content is reviewed and approved by AI4Seniors before it appears to residents.
If a resident follows a sponsor's link to that sponsor's own website or contact channel, the sponsor's own privacy practices will apply.
5. AI Processing
Questions asked through AI4Seniors are processed by third-party AI services, including Anthropic's Claude AI, to generate answers. These services may temporarily process the text of a question to produce a response. We select AI providers with strong privacy commitments and data protection practices.
We do not include identifying resident information when sending questions to AI providers.
6. Data Security
We use industry-standard security measures to protect information, including encrypted connections (HTTPS), secure cloud hosting (Vercel), and reputable third-party payment processing. Access to facility and sponsor account data — including the sponsor dashboard — is protected by authentication and role-based access controls.
7. Data Retention
- Resident usage and sponsor-tap data — retained for up to 12 months for billing, reporting, and service improvement, then anonymized or deleted
- Facility account data — retained for the duration of the relationship plus 7 years for legal and tax purposes
- Sponsor account data — retained for the duration of the sponsorship plus 7 years for legal and tax purposes
8. Your Rights
Depending on where you are located, you may have rights to request access to, correction of, or deletion of personal information we hold. To exercise these rights, contact us at: jim@ai4seniors.info
- California Residents (CCPA/CPRA): You have the right to know what personal information is collected, the right to delete personal information, and the right not to be discriminated against for exercising these rights. We do not sell personal information.
- European/UK Residents (GDPR): You have rights under GDPR including access, rectification, erasure, and data portability. Our legal basis for processing is legitimate interest and contract.
9. Children's Privacy
AI4Seniors is designed for adults and senior communities. We do not knowingly collect information from individuals under 18. If we learn we have collected information from a minor, we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last Updated" date at the top reflects the most recent revision. For significant changes we will provide additional notice on the website.
